Festival status update: Still hoping to go ahead as planned

Hi friends and supporters of the Big Weekend. We hope you are keeping well and in good health amid this unprecedented global situation we all suddenly and unexpectedly find ourselves in.

We thought it was time to give you the heads up as to where the Covid-19 Coronavirus leaves us in relation to the Big Weekend festival in August.

We had an urgent committee meeting on Wednesday to look at our options. We all agreed that at this stage, still with 5 months to go and a very fast moving situation, that it is too soon to make a decision to cancel the event; and have proposed instead to continue to work towards it going ahead as planned, for the time being at least.

We will review the situation on the 15th May, exactly three months before the event. We are hoping by then to have a clearer idea of the longevity of the situation and we will make a final decision based on more up to date information.

The last thing we want to do is disappoint folks by cancelling, but we also want to ensure the absolute safety of our event for our guests; and be able to make a more informed decision within a reasonable time frame.

If we did arrive at a situation where we felt we had to cancel/postpone, we would endeavour that where possible we would defer the same program of Artists to the following year, August 2021.

At this moment in time the festival is going ahead, but the final decision will be made on 15th May.

We have, with immediate effect, extended the cut-off date for tier two tickets to 10am on Sunday 31st May; as we want to give those who are holding off from buying tickets the opportunity to get them at the tier two prices IF the festival is able to go ahead.
The current contingency plan, if we decide to postpone; would be to roll those tickets already purchased over to next year (2021) and keep the ticket sales open until then.

We understand that some people may wish to request a refund, this can be done via Eventbrite. Although we hope you are willing to bear with us and see how this situation unfolds.
We will be having weekly meetings to keep on top of this developing situation and will keep everyone informed of any changes or developments via our Facebook page, website and email (for those who have purchased tickets).

Tier Two Tickets Available:

The ticketing structure for 2020 is the same as last year. We always listen to feedback and are commited to striking a balance between having an easy to manage ticketing system, keeping fees to a minimum and being able to keep the festival afloat. Below is an explanation of how the three tier ticket system works:

Tier 1: Early Bird Ticket (SOLD OUT)

£55 +fees (£59.88) – These tickets go live at midday on Sunday 22 December 2019.
They are limited to the first 30 tickets and last year sold out within 4 hours, so be quick! After these are sold out Tier 2 tickets will be activated. The early bird tickets do not include camping; therefore a weekend camping ticket will be required if you wish to camp (You only need one camping ticket per camping unit).

Weekend Camping Ticket

£20 +fees (£22.15) – Valid for entire weekend. No day camping rates available. This is a PER CAMPING UNIT fee, so if you are a couple in one tent, caravan or ‘live-in’ vehicle you ONLY need one camping ticket).

Tier 2: Weekend+Camping Ticket

£90 +fees (£97.61) – This is a bundled ticket to reduce the fees as much as possible for those who wish to camp. These tickets are available until 10am on 20th April 2020, at which point the Tier 3 Weekend+Camping tickets will go on sale at a higher rate of £95 +fees.

HINT: Camping tickets cover an ENTIRE CAMPING UNIT, so if you are a couple in one tent OR caravan OR ‘live-in’ vehicle you ONLY need one camping ticket per unit; so to keep your costs down we advise you buy one bundled ‘Weekend+Camping’ ticket and then your other ticket at the standard ‘Tier 2’ rate of £70 +fees.

Tier 2: Weekend ONLY Ticket

£70 +fees (£76.05) – This ticket price DOES NOT include camping, if you intend to camp then you will need to purchase the bundled Weekend+Camping ticket or a separate Weekend Camping ticket. These tickets are available until 10am 20th April 2020, at which point the Tier 3 Weekend ONLY tickets will go on sale at a higher rate of £75 +fees.

HINT: Camping tickets cover an ENTIRE CAMPING UNIT, so if you are a couple in one tent OR caravan OR ‘live-in’ vehicle you ONLY need one camping ticket per unit; so to keep your costs down we advise you buy one bundled ‘Weekend+Camping’ ticket and then your other ticket at the ‘Tier 2’ rate of £70 +fees.

Tier 3: Weekend+Camping Ticket

£95 +fees (£103.00) – This ticket price INCLUDES camping, you do not need to purchase another camping ticket. These tickets are available until Midday on Friday14th August 2020, at which point all online sales will cease and tickets can only be purchased on site at the festival box office.

HINT: Camping tickets cover an ENTIRE CAMPING UNIT, so if you are a couple in one tent OR caravan OR ‘live-in’ vehicle you ONLY need one camping ticket per unit; so to keep your costs down we advise you buy one bundled ‘Weekend+Camping’ ticket and then your other ticket at the standard ‘Tier 3’ rate of £75 +fees.

Tier 3: Weekend ONLY Ticket

£75 +fees (£81.44) – This ticket price DOES NOT include camping, if you intend to camp then you will need to purchase the bundled Weekend+Camping ticket or a separate Weekend Camping ticket. These tickets are available until Midday on Friday14th August 2020, at which point all online sales will cease and tickets can only be purchased on site at the festival box office.

NB: Weekend tickets include all main events and dance workshops, any other workshops are paid on the day to the workshop leader and prices will be listed on the festival website; you DO NOT need to purchase individual event or day tickets if you have a weekend ticket.
